Role Overview

In this role, you are directly collaborating with Atlas’ Leadership Team, families, teachers, and the larger Atlas School Team.  You are primarily responsible for helping perform day-to-day clerical tasks in the school office while providing exemplary customer service for current families, prospective families, school partners, and other visitors.  Aligned with Atlas’ mission, you will bring your drive, creativity, and growth mindset to help make Atlas’ vision a reality.   

 

Administration/Record Keeping

  • Oversee the school’s main office systems.
  • Welcome and direct visitors as needed and assure the proper check-in process is followed.
  • Assure that delivered packages are received at the front office and delivered to appropriate staff members.
  • Ensure that office materials are organized, stored neatly, and remain accessible to students/staff/parents.
  • Maintain completeness and accuracy of all student records.
  • Serve as the Student Information System coordinator and point person for support.
  • Maintain and update student data and information via the Student Information System.
  • Support the Head of School with any additional student reporting or paperwork.
  • Ensure that the overall office is clean and creates a welcoming environment.
  • Manage and enforce the correct process for approving and ordering all office/classroom supplies.
  • Manage the ordering of supplies and maintenance for all copiers.

 

Recruitment/Enrollment

  • Process student withdrawals and registration through SchoolMint. 
  • Manage all incoming applications and enrollment paperwork.
  • Support student recruitment. 
  • Assist in lottery preparation as needed.
  • Create and manage files for all new incoming students.
  • Assist with New Student/Parent Orientation (scheduling, enrollment packets, leading small groups).

 

Communications

  • Maintain communication systems with families, acting as parent/community liaison (phone, email, in person).
  • Assist staff in the preparation of any parent newsletters and notices.
  • Maintain all school postings and newsletters on site.
  • Deliver mass phone, email and/or text messages to families as needed.
  • Deliver and respond to parent messages within 24 hours and check voicemails daily.

 

Financial

  • Collect student fees (such as for uniforms) and provide receipts.
  • Keep consistent and accurate records of weekly funds received and complete weekly cash verification. 
  • Manage and ensure the safety of the cash box, and lock up funds daily in the front office safe.

 

Other

  • Enforce appropriate procedure for student medication on campus, when the school nurse is not present.
  • In the absence of the school nurse, document any student injuries, including submitting paperwork to insurance as needed.
  • Perform other duties and special projects as required and assigned, as well as attend and assist in school events as needed.

 

You are:

  • A significant contributor to a positive school culture through the provision of high levels of customer service. 
  • Highly organized. 
  • Proficient in Google Calendar, Google Docs, and Google Sheets. 
  • Proficient in customer relationship management databases (we use Less Annoying CRM), student information systems (we use TeacherEase), and student enrollment platforms (we use Schoolmint), or have a willingness to learn. 
  • Passionate about our purpose and the social impact we aspire to create.

In order to work at Atlas Public Schools, you must:

  • Provide an official transcript demonstrating graduating from an undergraduate institution.
  • Pass a background check complete Family Care Safety Registry.
  • Demonstrate eligibility to work in the United States.
